Proposal software pricing,
    without the per-seat maths.

Every plan is one price for your whole agency. Hiring a fifth person doesn’t change the bill, e-signatures are included from the free plan up, and there’s no trial clock to beat.

Why we don’t charge per seat.

Proposal tools were mostly built for sales teams, where a seat maps neatly onto a quota. An agency doesn’t work like that. A proposal passes through a strategist, a designer and whoever owns the account, and only one of them ever presses send. Charging for all three turns collaboration into a line item, so people share a login instead — and then nobody can tell who changed the price.

What Propopad costs as the team grows

    • 1 user$19Starter
    • 3 users$39Pro
    • 5 users$39Pro
    • 10 users$69Business

Yearly billing. The price stops moving between your third and fifth hire, and again between your sixth and however many come after.

    Five seats elsewhere, per month

Published rates on annual billing, and they may change. The comparison pages go through each tool feature by feature.

Reading a proposal software price list

Headline prices in this category are hard to compare because they are rarely measuring the same thing. Three details decide what you actually pay, and none of them are the number on the pricing page.

Whether the price is per seat. A $21 plan and a $39 plan are not $18 apart if the first is charged per user — at five people it is $105 against $39. Multiply before you compare, using the team you expect to have next year rather than today.

Where the send limit sits. Entry plans often cap proposals per month, sometimes at five. If that cap is below your real pitch rate, the entry price is decorative and the tier above it is your actual price.

What sits behind the next tier. Signatures, custom branding, a custom domain, CRM sync and analytics are all common upgrade triggers. A plan you have to leave in month two costs what the plan after it costs.

Those are also the three questions worth asking about us. Propopad is flat per team, the send limits are 10 and 40 a month before unlimited, and the only things gated above Starter are HubSpot deal sync, engagement tracking and the full template set. If you want the same arithmetic run against the tools you are weighing us against, the proposal software comparison covers Proposify, Qwilr, PandaDoc and Better Proposals in detail.

    Pricing questions

    How much does Propopad cost?
Billed yearly it is $19/month for Starter, $39 for Pro and $69 for Business. Billed monthly the same plans are $29, $59 and $99. There is also a permanent free plan with one proposal a month, so you can send a real proposal before paying anything.
    Do you charge per user?
No. Every plan is a flat price for the whole team. Starter covers 2 users, Pro covers 5, and Business is unlimited. Adding a teammate does not change your bill until you pass the plan’s user limit, which is the main way flat pricing differs from the per-seat model most proposal tools use.
Is there a free plan, or only a free trial?
A free plan, not a time-limited trial. It includes one proposal a month with e-signatures, PDF export and the Classic template, and no credit card is required. Proposals sent on the free plan carry a small Propopad mark; every paid plan removes it.
Are e-signatures included, or charged separately?
Included on every plan, free one included. Clients sign in the browser. There is no separate signing tool to buy and no upgrade needed to get a signature, which is often where the real cost of a cheaper-looking plan hides.
What counts towards the proposal limit?
Proposals sent in a calendar month. Drafts, edits and re-sends of a proposal you already sent do not count again, and the counter resets at the start of each month. You can see where you are against the limit in Settings → Billing.
What happens if we outgrow a plan?
Nothing stops you writing. The limit applies when you share a proposal with a client, and you are prompted to upgrade at that point rather than losing the work. Moving between plans is done from Settings → Billing, which also spells out what you would give up before you confirm a downgrade.
Is there a contract or a minimum term?
No minimum term. You can cancel from the billing portal at any time and keep access to the end of the period you have already paid for. Yearly billing is roughly a third cheaper than monthly on every plan.
How does this compare with other proposal software?
Most tools in this category price per user, so the comparison depends entirely on team size rather than on a headline number. We keep a side-by-side breakdown of Proposify, Qwilr, PandaDoc and Better Proposals on the comparisons page rather than summarising it here.
